What WagTab collects, why, who else handles it, and what you can do about it.

Last updated October 27, 2026

Who we are

WagTab is front-desk software for grooming shops. It is made by WagTab LLC, a Florida limited liability company (“WagTab”, “we”). Questions about this policy go to hello@wagtab.com.

This policy covers wagtab.com, the sign-up, and every shop’s copy of the app at its own address (yourshop.wagtab.com). The Terms of service are the agreement between WagTab and the shops that use it.

Two kinds of information

Your shop’s account

When you sign up, we collect:

  • your shop’s name and its web address;
  • your first and last name, and your email;
  • a password, which we never store in readable form;
  • your time zone and language, and whether you asked for a founding spot;
  • a scrambled form of your internet connection’s address, so one connection can’t make hundreds of sign-ups.

When you go live, Stripe collects your payment details for the plan. We never see your card number.

Your shop’s records

Inside WagTab, your shop keeps:

  • its clients, pets, visits, notes, photos and documents;
  • online booking requests, and the forms and waivers clients sign, with their signature;
  • payments, gift cards, expenses, staff hours and time off;
  • payroll details for its team: pay rates, tips, commissions and the ID number the shop’s payroll company uses. The app has no place for bank account or Social Security numbers.

Your shop decides what goes in, and your shop is responsible for having its clients’ permission. We hold these records for your shop and use them only to run WagTab for it.

If you’re a client of a grooming shop

The shop you book with runs its own copy of WagTab and decides what it keeps about you and your pets. WagTab holds that information for the shop and doesn’t use it for anything else.

  • What you type on a shop’s booking page, and any form you sign, goes to that shop only. If you make an account there, you sign in with a code sent to your email.
  • Emails from the shop (confirmations, reminders, receipts) come through WagTab. The shop may also send marketing emails, like a review request, a birthday note or news and offers. News and offers go only to clients who said yes, and every marketing email has an unsubscribe link that works at once.
  • Mobile groomers can send an “on the way” link. It shows the van’s latest position while the groomer shares it, hides it after 10 minutes without an update, and wipes it when the groomer arrives.

To see, correct or delete what a shop holds about you, ask the shop. The shop can do it in WagTab: deleting a client removes their personal details, and only the money already paid stays in the shop’s books, under “Deleted client”. If you write to us instead, we’ll pass your request to the shop.

Where it’s kept

  • Your shop’s own database. Each shop has its own copy of the app at its own address, with its own database, on Cloudflare’s network. Every page is sent encrypted.
  • Our own records. WagTab keeps a small separate list of shops (name, address, owner’s name and email, plan and billing status) to run sign-up and billing.

What we don’t do

  • We don’t sell or rent any information, and we don’t use your shop’s records or your clients’ details for our own marketing.
  • wagtab.com counts visits with Cloudflare Web Analytics: no cookies, no ads and nothing that identifies you. It also counts visits by US state, keeping only the state’s two letters. The shop app loads nothing like it.
  • The app uses only the cookies it needs: one to keep staff signed in, one to keep a shop’s client signed in to their account, and one to keep a shop screen (like the grooming board) connected.

Who else handles data, and why

We use a few services to run WagTab. Each gets only what it needs.

Cloudflare

Hosts the site, the app and each shop’s database. Runs the “are you human” check on sign-up. Its AI suggests names for spreadsheet columns and reads old notes during an import, if the shop leaves that on. What it gets: Everything stored in the app. For an import’s AI, only column headings, a few sample values and the old notes, with names taken out.

Brevo

Sends every email: sign-in codes, booking confirmations and reminders, receipts, the shop’s marketing emails, and billing notices. What it gets: The email address and the message.

Stripe

Takes the WagTab plan’s payments. A shop may also connect its own Stripe account to take card payments from its clients. What it gets: The plan’s payment details. For a shop’s own card payments, what Stripe needs to charge the card.

Square (only if the shop connects it)

Card payments on the shop’s own Square account, through a Square Terminal at the counter. What it gets: The amount, the tip and what Square needs to charge the card.

US Census Bureau geocoder

Turns a street address into a point on the map: clients’ addresses for mobile shops, and the shop’s own address for the weather. What it gets: The street address only, never a name.

National Weather Service

The forecast on the shop’s screens. What it gets: The shop’s map point only.

TomTom (only if turned on)

Mobile shops: drive times with traffic. What it gets: Map points only, no names or addresses.

OpenFreeMap

The map tiles shown in the app. What it gets: Which part of the map is on screen.

Anthropic (Claude) or OpenAI (ChatGPT), only if connected

An owner or manager can connect the shop to their own Claude or ChatGPT account and ask about the calendar, clients and sales. What it gets: Only what that person asks about, sent to their own account under that company’s terms.

Texts: WagTab doesn’t send texts. It writes the message and opens it on the shop’s phone or in WhatsApp, and the shop sends it from there. The phone company or WhatsApp then handles it under its own terms. Opening a van’s next stop in Google Maps, Apple Maps or Waze works the same way: that app gets the address.

Phone calendar link: if someone on the team turns on the link that puts their visits in their phone’s calendar, that calendar app receives each visit with the dog’s name, the services and the client’s first name and last initial. Never a phone number or a price.

Who in a shop sees what

  • Owners and managers see everything in their shop.
  • Front desk, groomers and bathers see clients and the calendar, but not reports, the books, timesheets or Settings.
  • The accountant login sees the books, expense receipts and the shop’s documents, read-only, and never the clients.
  • The grooming-room screen shows the dogs and their notes, never a phone number or a price. Notes typed by staff show as written.

WagTab’s team only looks inside a shop when that shop asks for help, or to keep the service running and safe.

WagTab support sign-in

When a shop asks us for help, like moving its clients over from other software, someone on WagTab’s team can sign in to that shop as “WagTab support” without asking for anyone’s password. Each visit lasts an hour at most, records the reason we gave, and logs every change in the shop’s activity log under “WagTab support”. The owner gets an email when it starts and sees it on the Today page.

Support can’t see or change passwords, two-step sign-in, logins, card payouts, the plan or Claude’s connection, and can’t download the shop’s data. The owner can turn support sign-in off any time in Settings, under Security & data, and then no one at WagTab can sign in to the shop.

Security

  • Passwords are stored scrambled one way, with a random salt and a secret key kept apart from the database.
  • After the password, everyone with an email on their login types a 6-digit code we email them, or one from an authenticator app. Owners, managers and the accountant always have an email.
  • Each shop keeps a log of sign-ins, downloads, refunds and other important changes.
  • An owner can sign everyone out of every device.

No system is perfect. If we learn of a breach that affects your shop, we’ll email the owner without delay and say what happened.

How long we keep it

  • While your shop is active, we keep everything until you delete it.
  • If free setup ends before you go live, your plan ends, or a payment isn’t fixed within 14 days, the shop turns read-only. You can still sign in, see everything and download it.
  • We don’t delete a stopped shop’s records without asking the owner first.
  • Database history: Cloudflare keeps 7 days of each shop’s database history, so a mistake can be undone. Something deleted is gone from that history after 7 days.
  • Unfinished sign-ups are deleted after 30 days.

Your choices

  • Owners can download any list for Excel, or a full copy of the shop’s records with every photo, any day, paid or not.
  • Shop staff can change their own details in My settings.
  • A shop’s clients ask the shop, as described above.
  • To close your shop and delete its records, email hello@wagtab.com from the owner’s email.

Children

WagTab is for businesses. It isn’t meant for anyone under 16, and we don’t knowingly collect children’s information.

Changes

If we change this policy in a way that matters, we’ll email shop owners before it takes effect and update the date at the top.
